New York University Abu Dhabi (NYUAD) seeks to appoint a Project Coordinator, who will report to the Head of HR Transformation and Projects.

The Project Coordinator will be responsible for the coordination and implementation of NYUAD HR transformation and projects objectives. This role will work closely with other project leads from other functions to deliver HR projects based on an agreed calendar. They will also be required to consolidate service requests received from end users to be presented to the different NYUAD councils.

This position has a wide degree of autonomy since the Project Coordinator is expected to leverage their engagements with Project Managers, the HR director and HR processes to optimize and enhance the HR governance process. The selected candidate will work with project managers and end users in schools, departments and central administration to adopt HR processes. Even though the Project Coordinator will not be accountable to the success of projects, s/he is accountable to enforce NYUAD project managers to apply standard HR processes.

Since this position is a startup, the selected candidate must have the flexibility to adapt and grow in an ever-evolving start up environment. S/he will be extremely organized in work habits and have a proactive focus. The candidate should be comfortable handling a broad range of both low-level and high-level tasks, particularly during the earliest stages of projects.

Key Responsibilities

Monitor Projects Dashboard (status report) on a weekly basis, evaluating progress and quality, managing it for consistency and taking corrective action as necessaryDevelop and track projects high-level timelines and sequencing based on his/her interaction with Head of HR Transformation and project managersGuide and perform analysis of resource utilization and workload allocation based on project demands and prioritiesManage and enforce HR procedures and archiving necessary reports and forms for overall project trackingMonitor contracts and project financials including activation and expiration of contracts and 3rd party scope of worksProvide weekly resource allocation and utilization report to managementProof read documentation and make necessary amendmentsWork with Project Managers to develop training logistics for PeopleSync/Workday sessions and a ssist in scheduling workshops, training & testing sessionsServe as source of information to the staff policies, procedures and office activities and provide basic informationCompose correspondence for supervisor’s review and approval and r espond to general inquiries, resolve routine problems, and consult with supervisor or others, as needed, on more complex issuesProofread documents for accuracy and completeness and c reate and update spreadsheetsBusiness requirements gathering, analysis, documentations and coordinate accordingly and t ranscribing results from stakeholder meetings, while accurately recording key decisions & action itemsGenerating and compiling ad hoc reports based on management request

Qualifications

Required Education:

Bachelor degree or equivalent experienceCompleted significant part of formal Project Management training program

Required Experience

5+ years project coordination experience working with project teamsLeadership, basic negotiation, and presentation skillsAbility to understand the organization, aims and processesFamiliar with a variety of project management concepts, practices, and proceduresA wide degree of creativity and latitude is expected
